As an admin you need to:

  • make sure all links are changed in a new doc.

  • review/approve all changes to the docs

  • sync changes from the draft space to the destination space (can be automated)

All links need to be from the destination space, not the working space

How to stage things:

  • for yourself

  • for someone else on the live site using tags

Approval set up with Comala

flowchart : edits (review stage) → assign stacey to approve → stacey approves → stacey syncs with secret space → (optional: stacey stages for others to see changed) → stacey builds the site

  • Comments on the doc will not push status out of approval stage but edits will push the doc back to review status.

  • Approval is in place so that any new content to the Synapse site is gated and doc manager needs to review before pushing it to the pre-production space. Ensures that anything new gets looked at. also gives a way to see all page status at a glance (e.g. they should all be approved and if anyone makes a change, it will flip to review status which you will be able to see and track). How to use workflow report.

  • You can also automate the syncing step to occur after approval (probably should implement this in the future).

  • currently instructions are to tag doc manager (Stacey) for approval. options to configure an automatic approver or group of approvers, or to require a minimum number of approvers. you can also configure the approval workflow differently – just the basics are in place right now. link to Comala docs for more.
